At Human Thinking AI, we take data seriously — whether it's yours, your clients', or data handled by the systems we build.This policy outlines how we handle data within our business and the systems we deploy for clients.

  • Clients who work with us
  • Any data processed by AI systems we help build or integrate

Our approach to data

We believe in minimal, purposeful, and secure data use. That means:

  • We only collect data when we have a clear reason to
  • We only keep data for as long as it’s needed
  • We ensure data is stored securely and responsibly
  • We do not sell, rent, or share data with any third party unless required by law

 Data we handle

We may handle or process the following types of data:

For our business:
  • Contact details (name, email, company, job title)
  • Messages or form submissions
  • Analytics data (via tools like Google Analytics or Plausible)
For client projects:
  • Workflow data
  • Process documentation
  • CRM or marketing data (when integrated by us)
  • Internal communications or ops information (used in automation builds)

We do not store your clients’ data permanently unless required for testing — and only with your consent.

Storage & security

We store data in secure platforms that are GDPR-compliant and offer industry-standard security, including:

  • Encrypted platforms (Google Workspace, Notion, Slack, Airtable, etc.)
  • Password-protected cloud storage
  • Reputable no-code and low-code systems (e.g. Relevance AI, Zapier, Make)

We never store passwords or sensitive customer data unless explicitly required and agreed upon in writing.

Data in automation builds

When we build systems for you, we:

  • Only access the data we need
  • Use secure APIs and authenticated tools
  • Provide transparency into what’s processed and where
  • Leave you in control of your own platforms

If an AI system processes personal or sensitive data, we’ll work with you to ensure compliance with applicable laws (like GDPR or UK Data Protection Act).

Your responsibilities

If you’re our client, you remain the Data Controller for any systems we help build and responsible for how data is ultimately used within your business.We’ll advise and support you on best practice, but we don’t assume liability for how your business uses the tools we create.

Retention & deletion

  • We keep data only for as long as needed to deliver services or maintain business records
  • You can request deletion of your data at any time by emailing henry@humanthinking-ai.com
  • For client work, we delete any staging or access data once a project is complete
